Survey Robot LLC (“Survey Robot,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and retain personal information in connection with surveyrobot.co and its related webpages (the “Site”), inquiries submitted through the Site, and related business communications.

The Site is operated from the United States and is directed primarily toward U.S. business users.

This Policy does not replace a privacy notice or consent statement provided by a survey panel provider, survey-hosting platform, or other party that recruits or interacts directly with research participants. Section 8 provides additional information about Survey Robot’s handling of survey research data.

1. Personal Information We Collect

Information you provide

We may collect information you voluntarily provide through the Site or related communications, including:

  • Your name, if provided.

  • Your email address.

  • The contents of your message.

  • Your company, position, or other professional information that you include.

  • Records of our communications with you.

  • Information you provide while discussing a prospective or actual business relationship.

  • Transaction, invoicing, contract, and customer information if you later purchase research from us outside the Site.

  • Requests, feedback, and other information you choose to provide.
    Please do not submit sensitive personal information, trade secrets, material nonpublic information, or confidential information through the Site’s contact form.

Information collected automatically

When you visit the Site, Survey Robot, Squarespace, and their service providers may automatically collect technical and usage information such as:

  • Internet Protocol address.

  • Browser type and version.

  • Device type, operating system, language, and regional settings.

  • Network and internet-service-provider information.

  • Referring and exit webpages.

  • Pages visited.

  • Links clicked.

  • Scrolling, searches, and other interactions with the Site.

  • Dates, times, duration, and approximate location derived from an IP address.

  • Site performance, loading, and error information.

  • Cookie and similar-technology identifiers.
    We may receive aggregated reports or analytics based on this information. Squarespace may also collect and process certain information independently for its own operational, security, analytics, legal, and other purposes under Squarespace’s Privacy Policy and Cookie Policy.

2. How We Use Personal Information

We may use personal information to:

  1. Operate, maintain, secure, and improve the Site.

  2. Receive, evaluate, and respond to inquiries.

  3. Determine whether to pursue a prospective business relationship.

  4. Communicate with prospective and existing customers.

  5. Provide information about Survey Robot and its research.

  6. Prepare proposals, invoices, contracts, and research deliveries.

  7. Maintain business, customer, accounting, contractual, and correspondence records.

  8. Conduct reasonable one-to-one business-development follow-up.

  9. Send marketing or research-announcement communications where permitted by law and provide an appropriate opt-out method.

  10. Understand Site traffic, performance, and usage.

  11. Detect, investigate, and prevent spam, fraud, abuse, security incidents, and unlawful activity.

  12. Enforce our agreements and protect our rights and the rights of others.

  13. Comply with applicable law, regulation, legal process, and governmental requests.

  14. Establish, exercise, or defend legal claims.

  15. Evaluate or complete a financing, reorganization, merger, sale, or transfer involving Survey Robot.

  16. Carry out another purpose disclosed when the information is collected or with your direction or consent.
    Submitting an inquiry does not obligate Survey Robot to respond or enter a transaction.

3. Cookies and Similar Technologies

The Site uses necessary cookies and similar technologies that allow Squarespace to host, secure, and operate the Site.
The Site may also use analytics and performance cookies to understand traffic and activity. Where configured through our cookie banner, nonessential cookies are restricted unless you accept them.
You may use the Site’s cookie banner to:

  • Accept nonessential cookies.

  • Decline nonessential cookies.

  • Manage your cookie preferences.
    Your browser may also allow you to delete or block cookies. Blocking necessary cookies may affect Site functionality.
    The Site may use spam-prevention or security services, including CAPTCHA or similar technologies, that process technical and interaction information to distinguish legitimate users from automated traffic.
    Third-party services may use their own cookies or similar technologies under their own privacy policies. We do not control third-party cookies used independently by Squarespace or another provider.

4. How We Disclose Personal Information

We may disclose personal information to the following categories of recipients:

Hosting, technology, and communications providers

We may provide information to vendors that host, secure, operate, support, analyze, or facilitate the Site and our business communications, including providers such as:

  • Squarespace.

  • Email and productivity providers such as Google Workspace and Microsoft.

  • Cloud-storage providers such as Dropbox.

  • Accounting and invoicing providers such as QuickBooks.

  • Security, spam-prevention, and technical-support providers.
    These providers may process information on our behalf or, in certain circumstances, for their own independently disclosed purposes.

Professional advisers

We may disclose information to accountants, attorneys, insurers, consultants, auditors, and other professional advisers where reasonably necessary.

Legal and protective purposes

We may disclose information where we reasonably believe it is necessary to:

  • Comply with law, regulation, subpoena, court order, or other legal process.

  • Respond to a lawful request from a governmental or law-enforcement authority.

  • Detect, investigate, or prevent fraud, cyberattacks, abuse, or unlawful activity.

  • Protect Survey Robot, Site visitors, customers, research participants, or others.

  • Establish, exercise, or defend legal rights.

Business transactions

Information may be disclosed or transferred in connection with an actual or proposed merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar business transaction. A recipient would remain subject to applicable legal obligations regarding the information.

At your direction or with your consent

We may disclose information where you direct us to do so, request that we communicate with another person, or otherwise consent.

Research customers

Pseudonymous survey research information may be provided to customers as described in Section 8. Customer research files are distinct from personal information submitted through the Site’s contact form.

5. Sale, Sharing, and Targeted Advertising

Survey Robot does not currently sell personal information collected through the Site.

Survey Robot does not currently share personal information collected through the Site for cross-context behavioral advertising and does not currently use advertising pixels or retargeting tools on the Site.

We may disclose information to service providers that perform functions for us. Such operational disclosures are not made in exchange for monetary payment.

We will update this Policy and implement any legally required choices before materially changing these practices.

6. Business and Marketing Communications

If you contact Survey Robot, we may use your contact information to respond and to conduct reasonable follow-up regarding your inquiry or a potential business relationship.

Submitting the Site’s contact form does not automatically subscribe you to a mass-marketing newsletter.

If we later offer a newsletter or regular research announcements, we may use a separate signup process or another legally permitted method. Promotional emails will contain an appropriate method to opt out. You may also request that we stop sending marketing communications by emailing privacy@surveyrobot.co.

An opt-out from promotional communications will not prevent us from sending nonpromotional communications concerning an existing transaction, contract, legal matter, or business relationship where appropriate.

7. Information from Other Sources

We may receive information from service providers involved in operating the Site or delivering communications, such as Squarespace and our email provider.

We may also receive information when someone refers you to us, includes you in a business communication, or provides your information at your direction. We will use such information consistently with the context in which it was provided and applicable law.

This Policy does not currently describe the use of purchased marketing lists, customer-list matching, social-media advertising audiences, or advertising retargeting because Survey Robot does not currently engage in those practices. We will revise this Policy before materially adopting them.

8. Survey Research Participants and Research Data

Survey Robot conducts survey-based market research using third-party panel providers and survey-hosting platforms.

Recruitment and survey administration

Research participants may be recruited by a panel provider, such as Cint or one of its panel partners, and may complete a survey through a third-party platform, such as SurveyMonkey.

The panel provider and survey platform may independently collect personal information, administer participation terms, provide privacy notices, obtain appropriate permissions, prevent fraud, manage incentives, or track participation under their own policies.

Participants should review the notices provided by the party that recruited them and the platform through which the survey is administered.

Information Survey Robot may receive

Survey Robot may receive:

  • A pseudonymous respondent number or identifier.

  • Survey responses.

  • Demographic or household information requested in a survey.

  • Information about use of relevant consumer or technology products and services.

  • An IP address or similar technical information used for duplicate detection, survey-quality control, fraud prevention, security, and investigation of abuse.

Survey Robot generally does not seek participants’ names, personal email addresses, telephone numbers, financial-account information, or other direct contact information through its current research.

Survey Robot does not ordinarily use IP addresses to identify individual participants. We may nevertheless use or disclose IP-address information where reasonably necessary to investigate duplicate participation, fraud, cyberattacks, security incidents, unlawful conduct, or to comply with valid legal process.

Participants should not include their names, contact information, confidential information, or other unnecessary identifying information in an open-ended survey answer unless a particular survey expressly requests it and provides an appropriate notice.

Research use and customer delivery

Survey Robot may use survey data to:

  • Conduct analysis.

  • Produce reports, charts, tables, findings, and research products.

  • Perform data-quality review and validation.

  • Investigate duplicate or suspicious responses.

  • Improve survey design and methodology.

  • Support or verify research previously provided to customers.

  • Create aggregated, statistical, or deidentified information.

  • License or provide research results to customers.

  • Maintain research archives and historical comparisons.

  • Comply with contractual and legal obligations.

Survey Robot customers may receive aggregated research and may also receive pseudonymous respondent-level data containing a respondent number and survey answers.
Customer respondent-level files do not ordinarily include participants’ IP addresses or direct identifiers such as names, personal email addresses, or telephone numbers.
Survey Robot does not represent that this Privacy Policy replaces any survey-specific notice, panel-provider privacy notice, or survey-platform privacy notice.

9. Data Retention

We retain information for as long as reasonably necessary in light of the purposes for which it was collected and our legitimate business, research, contractual, accounting, security, archival, dispute-resolution, and legal needs.

The relevant period may depend on:

  • Whether an inquiry develops into a business relationship.

  • Whether information forms part of a customer, transaction, contract, accounting, or legal record.

  • The need to maintain records of communications.

  • Research reproducibility, quality control, customer support, historical analysis, and archival value.

  • Security, fraud-prevention, and abuse-detection needs.

  • Applicable limitation periods.

  • Legal, regulatory, tax, insurance, or contractual obligations.

  • Whether a valid deletion request applies.

  • Technical backup and disaster-recovery practices.
    Some business, customer, contractual, accounting, survey, and research records may be retained for an extended period, including indefinitely where reasonably necessary and permitted by law.
    We may delete spam, duplicative material, unsuccessful inquiries, and other information earlier at our discretion. We do not promise a fixed retention period for every category of information.
    Aggregated or deidentified information that cannot reasonably be associated with an individual may be retained and used without a fixed time limit, subject to applicable law.

10. Security

Survey Robot uses reasonable administrative and technical measures appropriate to the nature and scale of its business. These may include:

  • Password-protected accounts.

  • Multifactor authentication where available and appropriate.

  • Access controls.

  • Reputable hosting, email, cloud-storage, and productivity providers.

  • Secure transmission technologies made available by our providers.

  • Limiting access to those with a legitimate business need.

  • Reasonable measures to detect spam, fraud, abuse, and security incidents.
    No website, email account, cloud service, transmission method, or storage system is completely secure. We cannot guarantee absolute security or that information will never be accessed, disclosed, altered, lost, or destroyed without authorization.

11. Your Choices and Requests

You may contact us to:

  • Ask whether we maintain personal information that you provided directly to us.

  • Request correction of inaccurate contact information.

  • Request deletion of information.

  • Withdraw from promotional communications.

  • Ask questions about our privacy practices.

We will consider requests and respond as required by applicable law.

We may need to verify your identity and authority before acting. We may decline a request or retain information where permitted or required for legitimate business purposes, contract performance, research integrity, recordkeeping, security, fraud prevention, legal compliance, legal claims, or another lawful exception.

A request directed to Survey Robot does not automatically apply to information independently controlled by Squarespace, a panel provider, SurveyMonkey, an email provider, or another third party. Requests concerning their independently controlled information should be sent directly to the relevant provider.

12. Do Not Track and Global Privacy Control

Some browsers offer a “Do Not Track” signal. There is not a universally adopted standard governing all responses to such signals.

Survey Robot does not currently use the Site to track visitors across unrelated third-party websites for Survey Robot’s targeted advertising, and the Site does not currently change its practices in response to a browser Do Not Track signal.

You may control nonessential cookies through the Site’s cookie banner.

Survey Robot does not currently sell or share Site visitor personal information for cross-context behavioral advertising. Accordingly, a Global Privacy Control signal does not change those Survey Robot practices. Squarespace or another third party may independently recognize or respond to browser signals under its own policies.

13. Third-Party Websites and Services

The Site may contain links to or rely on services operated by third parties. Their privacy practices are governed by their own policies, not this Policy, when they independently control the information.

We encourage you to review the privacy notices of Squarespace and any linked or integrated service.

Survey Robot is not responsible for the privacy, security, content, or practices of third-party websites or services.

14. Children’s Privacy

The Site is not directed to children under 13, and Survey Robot does not knowingly collect personal information through the Site from children under 13.

If you believe a child under 13 has submitted personal information through the Site, contact privacy@surveyrobot.co. We will review the matter and take action where required.

Survey research may ask an adult respondent whether the respondent has children or about household composition. That does not mean that Survey Robot is collecting information directly from a child.

15. International Visitors

Survey Robot is based in California, United States. The Site is hosted and operated through service providers that may process information in the United States and other countries.

If you access the Site from outside the United States, your information may be transferred to and processed in countries whose privacy laws differ from those in your location.

The Site is directed primarily toward U.S. business users and is not presently designed to solicit children or broadly target consumers in the European Economic Area, United Kingdom, or other foreign jurisdictions.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, services, vendors, legal obligations, or business.

We will post the revised Policy on the Site and update the effective date. If a change is material, we may also provide a prominent Site notice or another appropriate form of notice.

We encourage you to review this Policy periodically.
